Job Full Description:

A local accounting firm is seeking a proactive and organized Office Operations Specialist to support daily office operations and provide exceptional client and operational support to both clients and internal staff.  This role is responsible for managing front office activities, assisting with tax and financial document processing, coordinating office operations, and helping maintain an efficient, professional workplace. The ideal candidate is detail-oriented, customer-focused, and enjoys identifying opportunities to improve processes and support a collaborative team environment. 

Responsibilities:

  • Serve as the first point of contact by answering multi-line phones, greeting clients and visitors, and managing incoming mail and correspondence.
  • Support tax and accounting operations by assembling completed tax returns and financial statements, scanning and filing confidential client documents, and generating due date reports.
  • Process daily bank deposits, credit card payments, and assist with client billing activities.
  • Coordinate internal and client meeting schedules while providing administrative and operational support to leadership and staff.
  • Maintain an organized, professional office environment, including office supplies, presentation, and day-to-day office operations.
  • Assist with planning company events, employee celebrations, and other team-building activities.
  • Partner with team members to improve office workflows and provide backup support as needed.
  • Complete additional administrative and operational duties to support the firm's daily business needs.

Schedule:

  • Full-time, Monday-Friday

Job Experience

  • Previous experience in an administrative, office support, customer service, or office operations role required.
  • Strong computer skills and proficiency with Microsoft Office and other standard office software.
  • Excellent verbal and written communication skills with a professional, friendly, and customer-focused demeanor.
  • Strong organizational, multitasking, and time management skills with exceptional attention to detail.
  • Ability to handle confidential financial and client information with discretion and accuracy.
  • Self-motivated with a proactive approach to identifying opportunities for process improvement and increasing office efficiency.
  • Ability to work collaboratively as part of a team while also managing responsibilities independently.
  • Experience in an accounting, financial services, or other professional services environment is preferred but not required.
