Job Full Description:

A faith-based organization based in West Michigan is seeking a highly organized and dependable Benefits Support Specialist to provide high-level administrative and operational support to the Executive Director of Benefits Services. This part-time, 30-hour-per-week position will coordinate meetings, calendars, communications, invoices, documentation, and day-to-day administrative processes while helping ensure priorities and projects remain organized and moving forward. The ideal candidate is proactive, detail-oriented, and comfortable working independently while collaborating across departments and with external partners. Strong alignment with the organization’s Christian mission, values, and ministry is an important part of this role.

Responsibilities:

  • Provide administrative support to the Executive Director of Benefits Services, including scheduling, meeting preparation, correspondence, document preparation, and follow-up tracking.
  • Coordinate team calendars, meetings, deadlines, shared documents, projects, and recurring administrative activities.
  • Plan and coordinate meetings, events, and gatherings, including invitations, materials, technology, and logistics.
  • Process invoices and support routine departmental financial administration, including approvals, documentation, and coordination with Finance.
  • Manage incoming and outgoing mail, mailings, correspondence, scanning, and document distribution.
  • Coordinate administrative needs and information sharing with other departments and external partners.
  • Regularly review webpages, documents, and published information to identify outdated or inaccurate content, broken links, and needed updates.
  • Maintain organized files and documentation while providing administrative support for departmental projects and initiatives.
  • Serve as Secretary to the Board of Benefits Services, including coordinating meetings, preparing and distributing minutes, and supporting board travel, expenses, and other meeting logistics.
  • Perform additional duties and special projects as assigned.

Schedule:

  • Part-time, approximately 30 hours per week
  • Hybrid schedule with two regularly scheduled days per week in the Grand Rapids office. 

Job Experience

  • 2+ years of experience providing executive, administrative, or operational support while managing multiple priorities.
  • Strong organizational and coordination skills with exceptional attention to detail and follow-through.
  • Proficiency with Microsoft Word, Excel, Outlook, Google Workspace, and other common office technology.
  • Ability to learn and effectively use systems such as Salesforce, ClickUp, financial systems, and benefits-related platforms.
  • Strong written and verbal communication and professional interpersonal skills.
  • Ability to handle confidential and sensitive information with integrity and discretion.
  • Self-directed and proactive with the ability to anticipate needs, identify gaps, and take appropriate action with minimal supervision.
  • Ability to collaborate effectively with individuals across departments and organizational levels.
  • Experience supporting an executive, department leader, or professional team preferred.
  • Experience with invoice processing, meeting coordination, administrative operations, or cross-functional workflows preferred.
  • Experience in a church, nonprofit, benefits, financial services, or other mission-driven organization preferred.
  • Spanish-language proficiency is a plus.
  • Occasional travel may be required, including local and out-of-area travel and occasional overnight stays.

Job Education

  • Associate’s or bachelor’s degree in business, communications, nonprofit administration, or a related field preferred; equivalent experience considered.
