Our client is a growing small business in the HVAC sector and is looking to identify a skilled Purchasing & Shipping Agent. This is a hands-on, jack-of-all-trades role ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and has a strong background in procurement, logistics, and vendor coordination.
About the Role
The Purchasing & Shipping Agent plays a key role linking Engineering, Operations, and Vendors. This individual will manage end-to-end procurement processes, coordinate inbound/outbound shipments, maintain inventory accuracy, and support a variety of daily operational needs. The ideal candidate brings 5–10 years of relevant experience and strong working knowledge of HVAC components.
Key Responsibilities
Procurement & Vendor Management
- Partner closely with the Engineering department to source and procure materials, components, and parts
- Request quotes, evaluate suppliers, and negotiate pricing and terms
- Maintain vendor relationships and monitor supplier performance
- Ensure timely ordering of materials to support production schedules
Shipping & Logistics
- Coordinate and schedule all inbound and outbound shipments
- Work with 3rd-party carriers and freight companies to arrange pickups, deliveries, and tracking
- Prepare shipping documents, labels, and packing lists
- Troubleshoot shipment delays or discrepancies
Inventory & Operations Support
- Oversee inventory management, accuracy, and replenishment
- Conduct periodic cycle counts and assist with inventory audits
- Use Enforce (or similar) software for purchase orders, tracking, and reporting
- Support general operations as needed within a small-business environment—flexibility is key
Qualifications
- 5–10 years of experience in procurement, shipping, logistics, or related operations roles
- Experience working in HVAC, mechanical, or manufacturing environments strongly preferred
- Knowledge of HVAC components and parts a significant plus
- Proficiency with procurement/ERP systems — Enforce experience ideal
- Strong communication and vendor-relationship skills
- Ability to thrive in a small business setting where responsibilities may be diverse
- Detail-oriented with solid organizational and follow-through skills
