Job Full Description:

Our client is seeking a detail-oriented and proactive Documentation & Regulatory Specialist to support compliance and documentation across their product portfolio. This role is ideal for someone with hands-on regulatory experience who thrives in a small-business environment and enjoys working cross-functionally to ensure accuracy, compliance, and operational efficiency.

This position plays a key role in maintaining regulatory readiness within industries such as personal care, cosmetics, and pharmaceutical products.


Key Responsibilities

Regulatory & Documentation (Primary Focus)

  • Maintain up-to-date knowledge of regulations impacting product declarations and chemical distribution across applicable industries
  • Manage and maintain registrations with regulatory agencies
  • Draft, review, and update documentation, including:
    • Product statements and declarations
    • Regulatory and quality documentation
    • Supplier qualification materials
    • Standard Operating Procedures (SOPs)
  • Anticipate and proactively address needs for new or updated documentation
  • Oversee and support product quality case resolution
  • Monitor and improve regulatory and product databases, including data cleanup and system enhancements
  • Partner with internal teams to ensure regulatory compliance aligns with business growth initiatives
  • Identify and implement improvements to regulatory and documentation processes
  • Ensure high-quality output by adhering to organizational standards and best practices

Secondary Responsibilities (Administrative & General Support)

  • Draft and edit correspondence, reports, and presentations
  • Support or coordinate special projects as assigned
  • Assist with new business initiatives, including research on prospective clients or opportunities
  • Provide general administrative support to meet evolving business needs

Qualifications & Experience

  • 2+ years of experience in a regulatory-focused role
  • Extensive experience interacting with regulatory bodies and/or vendors
  • Experience working in a small business or entrepreneurial environment preferred
  • Strong proficiency in Microsoft Office Suite and general software tools
  • Familiarity with regulatory requirements in personal/skin care, cosmetics, or pharmaceutical industries is a non-negotiable. 
  • Exceptional attention to detail and strong organizational skills
  • Ability to manage multiple priorities and anticipate business needs
  • Strong written and verbal communication skills
