Position Overview
This role blends accounting support, new hire onboarding, administrative duties, and asset tracking. The ideal candidate is adaptable, dependable, and comfortable managing multiple responsibilities in a dynamic environment.
Key Responsibilities
Accounting & Administrative Support
- Perform accounts payable and accounts receivable functions.
- Maintain filing systems, assist with daily administrative tasks, and support a busy office.
- Utilize Excel and Microsoft Office for data logging, tracking, and reconciliation.
New Hire Coordinator Duties
- Maintain printed new hire applications and ensure all necessary documents are prepared.
- Distribute applications to new employees and verify that all sections are completed accurately.
- Set up new hires in various company systems and accounts.
- Log all equipment or item assignments in employee files for accurate tracking.
- Complete drug test paperwork and explain company procedures and requirements before employment begins.
Credit Card Coordinator
- Receive daily copies of credit card transactions from internal departments.
- Log and reconcile all transactions against time sheets and online accounts.
- Maintain detailed spreadsheets for multiple company card systems.
Asset & Insurance Coordinator
- Maintain up‑to‑date documentation for all company assets, including:
- Make/model
- VIN
- License plate
- Registration
- Toll information
- Issue updated documentation to relevant personnel when changes occur.
- Add or remove assets from the company’s insurance policy as fleet items are added or retired.
Additional Expectations
This role requires strong flexibility and the ability to adapt quickly. Each day may bring unique or unexpected tasks.
You may occasionally assist with responsibilities such as:
- Calling vendors for quotes on materials or equipment.
- Supporting supervisors with last‑minute project needs.
- Helping with team tasks outside the standard job description when the workload demands it.
Qualifications
- Experience in accounting support, AP/AR, or administrative work preferred.
- Proficiency in Excel and Microsoft Office Suite.
- Strong organizational and prioritization skills.
- Ability to adapt to changing daily demands.
- Team‑oriented mindset with a willingness to assist where needed.
